How to Create a Direct Mail Campaign

Direct Mail Campaigns

Direct Mail campaigns in Voter.Vote allow you to design, print, and send physical postcards or letters to voters. This outreach type is ideal for campaign introductions, ballot reminders, and persuasive messaging. Each voter list must include complete mailing addresses.

Creating a Direct Mail Campaign

  1. In Contact Voters, select Create New Campaign → Direct Mail Campaign.

  2. Enter a descriptive name in the Naming Your Campaign field, such as “Vote-by-Mail Reminder” or “Neighborhood Outreach Postcard.”

  3. Under Select List for Outreach, choose a mailing-eligible list that includes full addresses.

  4. Click Create Campaign to open the direct mail workspace. This step opens the editor; it does not send mail automatically.

Overview Tab

Verification and Payment: Before sending mail, complete identity verification and add a payment method. These requirements appear as yellow banners in the campaign overview.

Test Mode: Use Test Mode to preview your design and verify details without incurring costs or sending real mail.

Campaign Overview: The overview displays campaign details such as name, launch date, cost estimate, number of records, outreach type, and status (Draft, Test, or Live).

To-Do List: The checklist outlines remaining steps before activation, including verifying outreach settings, saving a payment method, designing your mailer, and activating the campaign.

Creative Tab

Direct Mail Designer: Use the drag-and-drop design canvas to build your postcard or letter.

  • Size Selection: Choose the preferred mail size (e.g., standard 4” x 6” postcard). Note that size can affect cost and layout options.

  • Templates: Access pre-built templates to streamline design. Templates include suggested layouts and image placeholders.

  • Design Tools: Add text boxes, images, and shapes. Adjust fonts and colors while leaving space for addresses and postage.

  • Save Design: Click Save Design to preserve your work. You can return to continue editing later.

Recipients Tab

List Selection: Use the dropdown to select or update your mailing list. Each campaign supports one active list.

Recipient Status: Review and confirm recipients before activation. After activation, the system populates address data for review.

Settings Tab

Outreach Form: Some mail campaigns require completion of an Outreach Form, which collects sender details such as return address and required disclaimers. Complete and submit this form before activation.

Payment Method: Add or confirm your payment method for postage and production costs. Mail campaigns cannot be activated without a valid payment method.

Activation

After completing verification, design, and payment setup, return to the overview and click Activate Campaign.Activation triggers the print and mail process. Review all details carefully, as changes may not be possible after activation.

Pro Tip

Use Test Mode before launching a mailer to review your design for placement, spacing, and text accuracy. A small preview run ensures your message prints correctly and meets compliance standards.
