How to Email Voters
Emailing Voters
Email campaigns in Voter.Vote allow you to send branded, professional emails to your voter lists. Each record must include a valid email address. Email campaigns are ideal for voter education, fundraising, event invitations, and general updates.
Creating an Email Campaign
In Contact Voters, select Create New Campaign → Email Campaign.
Enter a clear, descriptive name in the Naming Your Campaign field. Example: “October Fundraiser Email Blast” or “Policy Update Series.”
Under Select List for Outreach, choose a list that includes email addresses. If no lists appear, create or import a new voter list with valid emails.
Click Create Campaign to open the email editor. Creating a campaign opens your workspace—it does not immediately send messages.
Messaging and Creative Tab
Subject Line: Write a concise subject line that encourages opens. Avoid all caps or excessive punctuation to prevent spam filtering.
From Name and Reply-To: Set the sender name and reply-to address. Use a recognizable name such as the candidate, committee, or campaign.
Email Editor: Use the built-in editor to design your email. It typically includes:
Rich Text Formatting: Add bold, italics, bullets, hyperlinks, and images.
Templates: Choose from saved templates or create your own for consistent branding.
Merge Tags: Personalize each email using tokens like {{First Name}} or {{District}}.
Attachments and Links: Add files or embedded links, but keep attachments small for better deliverability.
Preview and Test Email: Use preview mode to check how your email looks on desktop and mobile. Send a test email to yourself or a team member to confirm links and formatting.
Settings and Scheduling
Compliance and Unsubscribe: All political emails must include an unsubscribe link and campaign mailing address. These are automatically added by the platform—do not remove them.
Select Send Date: Choose whether to send immediately or schedule the email for a specific date and time. Scheduling helps coordinate timing with other campaign efforts.
Campaign Analytics: After sending, metrics such as opens, clicks, and bounces appear in the campaign overview. Use these results to measure engagement and refine future outreach.
Pro Tip
Keep emails short, visually clean, and focused on a single message or call to action. Campaigns that use clear subject lines, strong visuals, and one main goal typically see higher engagement.
Sending a Test Email
Testing Emails
Testing your emails in Voter.Vote ensures that your messages look professional and function correctly before you send them to voters. A test email is sent only to your internal team—this is often called “inside baseball.” It helps you verify formatting, links, and data before launching a full campaign.
Creating a Test List
In Voter Lookup, search for yourself or key campaign team members who will receive the test.
Open each record’s Voter CRM profile.
Under Tags, click Add Tag, type Test, and click Save.
Repeat for everyone who should receive your test email (such as the candidate, campaign manager, or communications lead).
Once you’ve tagged your testers:
Go to Create Voter List → name it clearly (for example, “Test – November Email”).
Click More Options, and set Turnout = 100% to make sure all testers are included.
Under CRM Attributes, select the tag Test, then click Create to generate your internal test list.
Adding Additional Records
If someone isn’t in your district—or their voter information is incomplete or out of date—you can add them manually using Additional Records.
Open your test voter list and click Additional Records → Add Record.
Enter the tester’s name, email, phone, and mailing address, then check Include Additional Records so these contacts are part of your outreach.
Note: Additional Records are not limited by turnout or party filters and will always receive the test message when this option is enabled.
Sending a Test Email
Navigate to Contact Voters. You’ll see the email campaign you’ve already created.
Click Duplicate to make a copy for testing—it will appear with Copy next to the name.
Open the duplicated email, select Recipients, and choose the internal test list you created.
Once your recipients are selected, activate the test campaign. Your internal testers will receive the email exactly as voters would.
Each tester should review their copy on both desktop and mobile, confirming that links work, images load, and the layout appears correctly in different email clients.
Reviewing Your Test Results
After sending your test, verify that:
• All tagged recipients received the email.
• Links, buttons, and images display correctly.
• The layout holds up on both desktop and mobile.
• The sender name and reply-to address are correct.
Make any necessary edits in the email editor before sending your full campaign to voters.
